Systems Requirements & Resourcing

Technology is constantly evolving at a rapid rate. This is demonstrated by the enormous growth over the last decade in mobile platforms, social media and remote interactions. Advances in communication technology has revolutionized the way businesses conduct their daily operations, increasing efficiency and productivity in their procedures.

Supply Chain Management Systems –

It is essential to the success of your organisation that you future-proof your supply chain systems:

* Are your current systems providing your business with a competitive advantage?
* Are there opportunities through better systems for service improvement or cost reduction?
* Are your systems capturing data in the simplest way?
* Are they allowing communication with suppliers and customers in the most effective way?
* Could the use of social media help in communications?

When dealing with the day to day operations of your supply chain it is hard to stand back and assess future needs. This is where we can help. We can undertake an audit to identify opportunities for business improvement through developing existing systems, replacing systems or incorporating additional systems.

Should you have a need for supply chain system changes we can assist you with establishing the relevant requirements and resourcing

Our Recommended Approach –

Our objective in working with clients is to make these activities as painless as possible. We recommend a three
phase approach:

* Process Analysis and Systems Requirement: Deliverables from this first phase are a development specification or a Request for Quotation document.

* System Selection and Procurement: Following on from phase one the conclusion of this is a contract from a supplier for a supply chain system.

* System Implementation: The third and most difficult phase, delivering a new, better operating system.

Process Analysis & Systems Requirement

Essential to business success is having IT support the achievement of your company strategy and ensure efficient, customer focussed daily operations. It is important to regularly evaluate whether your Supply Chain systems are the best possible to meet business objectives through process analysis and system requirement definition. Smart phones and tablets provide increased opportunities for communication and data capture.

Supply Chain Management Software Requirements – We can provide a team of experienced logistics consultants to work with you to assist in establishing current and future business requirements. Analysing your current business processes will enable us to identify opportunities for process improvement through work practice changes and IT systems enhancements. Working together we assess whether your current systems and hardware deployment will meet ongoing business needs:

* Will it be necessary to introduce system changes?
* Will these changes involve development of existing systems, implementation of new systems or a mixture of both?

WHY US- The next step is incorporating your requirements into a ‘Request for Quotation’ document. Whether your organisation needs an entirely new system, or to develop existing ones, our team of experience consultant’s will be able to guide you successfully through this process using our proven procedure.

After having produced a ‘Request for Quotation’ you are then in a position to start SYSTEM SELECTION AND PROCUREMENT.

System Selection & Procurement

Among the most common supply chain systems procured are warehouse management systems, transport management systems and telematics systems. To enable system selection and procurement your business requires a well-defined ‘Request for quotation’ document. The preparation of this will require PROCESS ANALYSIS AND SYSTEM REQUIREMENTS definition to have taken place.

Supply Chain Management Software –

The next stage is choosing your potential suppliers. Our logistics industry knowledge, along with our tried and tested supply chain systems acquisition process, can be tailored to meet your exact needs: From starting with establishing a non-disclosure agreement prior to sending ‘Request for quotation’ documents to potential supply chain systems suppliers, to conclusion of a negotiated contract with comprehensive schedules on system acceptance criteria, service levels and pricing. It is essential to the success of your systems implementation that your system supplier is contracted to establish appropriate access requirements to the programme and provide relevant training.

Procurement of supply chain systems–

For successful system selection and procurement we recommend a small amount of customisation to the supplier’s software. As a result your business will benefit from:

* Free upgrades to the latest version of software
* Easier system implementation * More efficient acceptance tests for your supply chain system

WHY US- There is a tendency to under estimate the time scale for these system selection and procurement activities which, dependent upon system complexity, integration requirements, customisation needs and size of the supply chain system to be acquired, can take between 4 and 12 months. In particular contract negotiation can be very protracted. Enlisting our support in selecting and procuring a new supply chain management system will allow you to know you'll be get the right software tailored to your operations with reliable timescales.

System Implementation

System implementation can only take place after the completion of a successful supply chain SYSTEM SELECTION AND PROCUREMENT phase. We are able to help you in the project management of this task and to avoid many of the pitfalls: systems implementations are notorious for exceeding timescales and going over budget, some fail completely. Our experience can minimise your risk.

Implementation Structure Organisation–

To achieve an effective system implementation you need a full time ‘Implementation Structure Organisation’. We favour a Project Steering Group, Project Team, Project Manager, System Owner and Key Users, consisting of the most experienced people from within your organisation in key roles. System implementation needs to be over managed - not providing enough resource is often a cause of problems.

Benefits of implementing IT systems–

The completion of the prior two phases, PROCESS ANALYSIS & SYSTEM REQUIREMENTS and SYSTEM SELECTION & PROCUREMENT, have the following benefits when implementing systems:

* The supply chain system supplier will be committed to providing the right level of support, available when and where required.
* Training requirements will be determined at the beginning of the project, in particular the most appropriate combinations of on-line learning, formal training courses and Train the Trainer.
* Key users will play a prime role in data migration, developing acceptance scenarios and producing scripts for tests as well as carrying out the tests.

WHY US- In the system set up we believe there should be a minimum of 3 system environments: training, testing and production (live). Careful planning is required on how the cut over to live running will be made. Will there first be a smaller scale pilot implementation? Will a period of parallel running be possible ?
